2011 Proposal Information

Before beginning the process of submitting a proposal online, print out this page for quick reference.

We invite you to submit a presentation proposal for the 2011 American Alliance for Health, Physical Education, Recreation and Dance National Convention and Exposition in partnership with Northwest and Southwest District AAHPERDs to be held in San Diego, California, March 29 through April 2, 2011. Convention programming is based primarily on this annual Call for Presentations, bringing practical and relevant information to HPERD professionals and students. By featuring you and your peers as presenters, AAHPERD provides convention attendees with the strongest forum for information exchange, problem solving, and networking on a national level.

Selection Criteria

Proposals received by the deadline will be forwarded to the appropriate national association’s program planning committee, which will include planners from Northwest District and Southwest District. Your proposal will be evaluated on the following:

  • overall quality and innovation;
  • national significance; relevance to health, physical education, recreation, or dance education disciplines;
  • well-defined focus;
  • sound research/theoretical basis; and
  • practical applications of materials.

Final notification of acceptance will be forwarded to you from the reviewing association by September 30, 2010.  If you have not received notification, contact the Association to which you submitted. 

Program Scheduling

Sessions are scheduled throughout the Convention from Tuesday, March 29 through Saturday, April 2. Please do not submit a proposal unless you will be able to present at anytime during the convention dates.

Half-Day In-Depth Conference (4 hours)
Poster Session (90-minutes)

Presenters/Planners

The planner (i.e. the person initiating the proposal) will serve as the lead contact for the program.  If you are the planner and will also be presenting on the same program, you must enter yourself twice, once as the planner and again as a speaker.  Please do not list individuals as co-presenters unless you have a definite commitment that they will be able to appear on the program with you on any of the convention days.

Expenses

Presenters who are involved in the fields of health, physical education, recreation, and dance education must register to attend the convention. In addition, all related travel and hotel accommodations are the presenters’ responsibility. Please explain this policy to all individuals you invite to participate on your program. Presenting at AAHPERD’s annual convention provides you with national recognition at a major convention and the opportunity to share concerns and ideas with your peers and colleagues. Presenters not in the fields of HPERD may be given a one-day free registration for the day of their presentation.  To find out if you qualify, contact your association program coordinator.

Specifics

Individuals may present in no more than two (2) sessions at the 2011 AAHPERD National Convention, inclusive of Poster Presentations and Research Consortium sessions. 

The same proposal may NOT be submitted to more than one component of AAHPERD, including the Research Consortium.  This practice violates submission protocol ethics and proposals will be rejected outright if submitted to two places simultaneously. 
When submitting your proposal, you will select ONE of the following Topic Tracks that best match for the information that will be included in your session.

Best Practices: These sessions provide information about applied topics that facilitate implementation of professional services such as teaching, coaching, or program execution and leadership.

Research: These programs involve dissemination of research findings.

Experiential: These are hands-on activity sessions or demonstrations of activities or materials.

Trends & Issues: These sessions provide overviews of current professional or social problems in our field, new trends, recommendations for innovations, professional ethics and standards, advocacy topics, etc.
 
Each proposal should be as specific as possible, especially in the title and description of your program. The title should be concise (10 words or less) and descriptive of the program content.  The 50 to 75-word program description will be used in the final convention program book (subject to editing).  This description provides the basis upon which attendees select their sessions. Therefore, please write this description with the reader in mind. Explain what the audience will learn from your session, the focus of the session, what information can be implemented in their schools, etc. 

Extended Description (this description will be used by the planning committee during the evaluation process and can be different than the program description listed above).  Please include the main points, objectives, or goals of your proposed program, what the audience will learn, etc.

Meeting Room Setup/Audiovisual

Each non-activity meeting room will include: head table with seating for 6; podium; (1) podium microphone, and (1) lavaliere microphone.

Each activity meeting room will include: standing podium; (1) wireless microphone.

If your presentation requires equipment other than that shown below, you must provide it at your own expense. Each program will have available to it one unit only of any or all of the following items:

  • Screen
  • LCD projector (laptop not included)
  • CD player
  • Flip chart (includes easel)
  • Dry erase board/chalkboard


Note:  Audiovisual requirements other than those shown are the responsibility of the presenter.  To order additional equipment on-site, stop by the Program Operations Booth at least two hours prior to your presentation.  Cash, credit card, or check will be accepted.  (Examples: DVD player: $52; TV monitor: $118; Overhead Projector: $57; Cassette Tape Player: $37; Laser Pointer: $30)
Laptops, slide projectors, and video cameras will NOT be provided. Wireless microphones will not be provided for non-activity presentations.

Technology Programs

Technology proposals that are accepted will be scheduled in the computer lab. (This room will include LCD equipment and Internet connection.)

Summary of Guidelines for Submitting a Proposal

1. No more than two proposals may be submitted for consideration to the 2011 Convention Planning Committee.  Please do not submit the same proposal to more than one association. 
2. Presenter(s) MUST be available to present on ANY of the following days: Tuesday, March 29 through Saturday, April 2, 2011.
3. Presentations soliciting purchase of books, materials, or services will not be accepted. Presenters wishing to sell merchandise must purchase an exhibit booth.  Exhibitors can pay for a commercial presentation (space permitting).  For more information call Exhibit Promotions Plus at 410/997-0763.
4.  Convention presenters will not be paid an honorarium. Presenters are responsible for their own expenses and the convention registration fee. Presenters not in the field of HPERD may receive a one-day free registration for the day of their presentation.  To find out if you qualify, contact your association program coordinator.
